1. About this policy
This Privacy Policy explains how ClockHQ ("we", "us") handles personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). By using ClockHQ you consent to the practices described here.
2. Information we collect
We collect: (a) admin account details (name, email, password hash, billing details processed by our payments provider); (b) business data you enter (business name, staff names, PINs, wage rates, rosters, schedules); (c) clock-in / clock-out events generated by your staff (timestamps, device tokens, approximate location only where you have enabled it); (d) usage telemetry (pages viewed, errors, IP address, browser type) to keep the service reliable and secure. We do not knowingly collect information from children.
3. How we use information
We use information to: provide and maintain the service, generate timesheet and payroll summaries, authenticate admins and staff, process payments, communicate service notices and support replies, detect and prevent fraud or abuse, improve features, and meet legal obligations. We do not sell personal information.
4. Who we share it with
We share information only with: our hosting and database provider, our payments provider (for billing), our email provider (for transactional emails), and analytics or error-tracking providers used to keep the product working. Some of these providers may store data overseas (including in the United States and the European Union); by using the service you consent to this transfer. We may also disclose information where required by law or to protect our rights.
5. Staff data and your obligations as an admin
When you (the business owner / admin) add staff, set wage rates, or enable clock-in features, you are the controller of that data. You agree that you have informed your staff that their clock-in events are being recorded by a third-party service, and that you have any consent required under workplace and privacy laws. You indemnify us for any claim arising from your failure to do so.
6. Security
We use industry-standard measures including encryption in transit, hashed passwords, row-level security and least-privilege access controls. No internet service is perfectly secure; you use the service at your own risk and must keep your login, workplace QR code and PINs confidential.
7. Retention
We keep account and timesheet data while your subscription is active and for a reasonable period afterwards to allow recovery and to comply with our legal obligations. You can request deletion of your account and associated data by contacting support; some records may be retained where the law requires.
8. Your rights
You can request access to, correction of, or deletion of personal information we hold about you by contacting support. We will respond within a reasonable time. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
9. Cookies
We use cookies and similar storage to keep you signed in, remember your preferences and measure performance. You can disable cookies in your browser, but parts of the service may not work.
10. Changes
We may update this policy from time to time by posting a new version here. Continued use of the service after a change constitutes acceptance.
